And how we look after them.
This page explains what we keep about you, why, who helps us, and how to ask us to change or delete it. The short version comes first.

01Who we are and how to reach us
HR Property Management (Essex) Limited is responsible for your details. It's our company in England, registered at Companies House in England and Wales, company number 13588353. Registered office: 1386 London Road, Leigh-on-Sea, Essex, SS9 2UJ, United Kingdom. When this page says "we", that's who we mean.
Libélula itself is in Carara, Costa Rica, and our Costa Rican company, HR Property CR Limitada, runs it day to day. Our team there sees your details when you come to stay.

02What we keep
Most of it comes from you:
- When you book a free call: your name, email and phone number, the retreat you're interested in, and your answers to our questions, including about your health and any medication. If you chose a retreat and a cabin on our site, that choice comes with your booking.
- When you write to us through our contact form: your name, your email, the topic and your message.
- When you ask for the full retreat schedule: your email, and your first name if you give it.
- For a stay: the name and email of each person coming, any food you can't eat, and what you paid and when.
- Your Medical & Safety Screening and retreat agreement: your answers about your health, medication, supplements and recent substance use, an emergency contact, and your signature.
- When you comment on our blog: the name you write, your comment, and your internet address and browser, to stop spam.
- Photos of you outside ceremonies, only if you tick that box in your retreat agreement. No one takes photos or videos during ceremonies.
- Emails you send us, and our replies.
Kit, our email service, also tells us when you open or click our emails.
03What we use it for
- To prepare your call and your retreat, and to look after you while you're here. We use your health answers, with your consent, only to decide if a retreat is safe for you and to care for you during it.
- To answer your messages.
- To write to you: the schedule you asked for, and news from the land and new retreat dates. Every email has a one-click unsubscribe.
- To keep our forms and our blog free of spam, and to keep the records the law asks for.
We never sell your details, and we never share them for advertising.
04Cookies and what stays in your browser
Our pages don't use tracking or advertising cookies, and we don't record how you move through them.
A few things stay only in your own browser, on your device, so our pages work for you. We can't see them from here.

To remove them, clear this site's data in your browser.
Our forms also load a quick human check from Cloudflare, and our email forms come from Kit. Each follows its own privacy policy.
05Who helps us
We share your details only with the services that help us run Libélula, and only what each one needs:
- Stripe takes card payments. We never see or keep your full card number.
- Cal.com books your call. We run it on our own server.
- Google runs the calendar and the video link for your call.
- Zoho and Google run our team's email, so they keep the emails you send us.
- Kit keeps our email list and sends our emails.
- Resend delivers what you send through our contact form to our team.
- Cloudflare runs our contact form and our blog comments, and does the quick human check.
- The company that hosts our website and our server.
Inside our team, the people who need your details to help you can see them. We share them with the authorities only when the law requires it.
06Outside the UK
Some of these services keep data outside the UK. Our team in Costa Rica sees your details when you come to stay. When your details leave the UK, we only use services that protect them as UK law requires.
07How long we keep it
- Our email list: you stay on it until you unsubscribe.
- Payments: the years UK law asks us to keep them.
- Your booking, your stay and your credit: while you have them with us.
- Your health answers: 6 years from your last retreat with us, so we don't ask you everything again if you come back. You can ask us to delete them sooner.
- Photos of you: until you withdraw your permission. Then we remove them from what we publish next.
- Blog comments: until you ask us to remove them. Comments our spam filter stops are deleted after 30 days.
If you unsubscribe, we stop emailing you.
08What's public
When you comment on our blog, the name you write and your comment are public. If you ticked the box in your retreat agreement, photos of you outside ceremonies can appear on our website and social media. Nothing else about you is public.
09Your rights
You can ask us, at any time, to:
- send you a copy of what we keep about you;
- correct it;
- delete it;
- stop using it for something, or stop emailing you.
Write to reservations@libelularetreatcenter.com. We answer within one month.
10Age
Our retreats are for adults, 18 or over. We don't knowingly keep details of anyone under 18.
11Changes
If we change this policy, we update the date below. If the change matters to you, we email you.
